Our Privacy Promise

      Concerns about privacy are very real, especially when answering sensitive questions on a survey about well-being. It is understandable to have worries about whether your leaders or colleagues might somehow be able to tell that your responses belong to you.
      To protect the privacy, security and confidentiality of your data,
      the following safeguards are in place:

       

      Survey is administered by a third party

      This survey is being administered by the SullivanLuallin Group (SLG), an independent survey administrator. SLG will conduct the survey through ServiceSTAT, a proprietary online survey administration, database, and reporting tool. The ServiceSTAT survey tool is a cloud-based tool for creating and administering online surveys. The database will be stored using the resources of Microsoft’s Azure on a password-protected, encrypted computer system that has limited access and is in a locked office in a controlled facility.

      KSOM will not have access to the raw data

      Nobody at KSOM, not even the Well-being Program, will have access to your email address, your personally identifying information, or any kind of raw dataset, and these will not be released for any reason. This information will be accessible only to limited SLG personnel appointed to manage the data and the SLG IT personnel who maintain the data, and will be reported back to KSOM only in aggregate.

      Leaders will not know who took the survey

      To compare well-being and risks of different groups and to identify what resources will be most effective for different groups, the following dimensions are evaluated: age, gender, department/specialty, training status, academic rank, race/ethnicity, practice environment, experience at work, work- and school-related stress and burnout.

      However, summaries will only include combinations of  demographic information that are shared by at least five individuals. If there are fewer than five individuals who share a particular profile (e.g., female, Black, department of PPHS, associate professor faculty), the data associated with those individuals will be removed entirely from the summary reports and will not be shared with anyone at KSOM.

      Results will be presented to leaders in summary form – not direct quotes

      Your free response (open-ended) text will also be protected. Only overarching themes will be shared with leaders and departments. A few sample direct quotes may be shared with leaders in order to communicate an important message, but only if the quotes represent the views of many. Content will not be shared with leaders or departments if it contains any information that could identify an individual in any way.

      Effective Date: This policy is effective as of February 28, 2023 and will be updated periodically to reflect any material changes to our privacy policy.
