Policy Statement:

The Keck School of Medicine requires timely reporting of final grades.

Policy Requirement:

Course and Clerkship Directors are required to submit final grades, including narrative assessment evaluations if applicable, in a timely manner to ensure that course or clerkship grades and evaluations are available to students within six weeks of the end date of the course and clerkship.  The reported grades and evaluations are recorded in the academic records of students by the Office of the Registrar.

Process:

  • Final grades for Pre-Clerkship courses are submitted to the Registrar by the Department of Medical Education.
  • Final grades and narrative assessments for Pre-Clerkship longitudinal courses (ICM, EPIC, HJSC), required clerkships, and electives are submitted by course or clerkship directors through the evaluation system.
  • Timely grade submission is tracked by the Registrar and reported to the appropriate curriculum committee (Pre-Clinical Curriculum Committee or Clinical Curriculum Committee) depending on the phase the course takes place. The curriculum committees are responsible for compliance tracking and management and reporting of such compliance to the Medical Education Curriculum Committee.
